Privacy Policy
How HN3FOODS collects, uses and protects your personal data, under the UK GDPR and the Data Protection Act 2018.

1. Who we are
HN3FOODS Ltd, the authorised Deep Foods wholesale distributor for the South-East & South-West, UK, is the “data controller” for the personal data you provide. Registered in England & Wales. Registered address: [ADD REGISTERED ADDRESS]. Contact: support@hn3foods.com.
2. What we collect
When you apply for a trade account we collect the details you give us: your name and position, business email and phone, trading/shop name, registered company name, company registration number, VAT number, business type, product interest, and your trading and registered addresses, plus any notes you add.
3. Why we use it, and our lawful basis
- To assess and set up your trade account — lawful basis: taking steps at your request prior to entering a contract, and our legitimate interests in operating a wholesale business.
- To contact you about your enquiry and your account — same bases as above.
- We do not use your details for marketing without your separate consent.
4. Where it is stored and who can see it
Your details are stored in our business systems (our Odoo CRM/ERP) and are accessible only to authorised HN3FOODS staff. We do not sell or share your data. We use trusted service providers (e.g. our software and hosting providers) who process data on our behalf under appropriate agreements. Data is transmitted over encrypted (HTTPS) connections.
5. How long we keep it
If you become a customer, we keep your account data for the duration of our trading relationship and for as long as required by law afterwards (for example, tax and accounting records for 6 years). If your enquiry does not proceed, we delete or anonymise your details within a reasonable period.
6. Your rights
Under UK data protection law you have the right to access your data, to have it corrected or erased, to restrict or object to its processing, and to data portability. To exercise any of these, email support@hn3foods.com. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
7. Cookies
This website does not use tracking or advertising cookies. We store a small preference in your browser to remember your light/dark theme choice; this is functional only and holds no personal data.

We may update this policy from time to time. The current version is always published here.
